Daycare attendance management: a practical guide

How to run an accurate daycare register: check-in and check-out routines, authorized pickup, absences, staff attendance and what to look for in attendance software.

Daycare attendance management means knowing, at any moment, which children are in your care, who dropped them off, who is allowed to collect them, and which children were expected but have not arrived. An accurate register is a safety tool first and an administrative record second. This guide covers the routines that keep it accurate and what to look for if you move it to software.

Why the register matters so much

In an emergency, the register is the list you evacuate from. At the end of the day, it is how you make sure every child left with the right person. And over time, it tells you how full each room really is. A register that is filled in from memory at 6 p.m. fails at all three.

Check-in: record it as it happens

  • Record arrival at the door or in the room, not later. A register that is "caught up" at lunchtime is wrong all morning.
  • Work per classroom. Each educator is responsible for their own group's list.
  • Check in the whole group, then correct. When most children arrive within the same hour, marking everyone present and fixing the few exceptions is faster than one child at a time.
  • Capture what the parent says. A bad night, a medicine given at home or a different person collecting today is information the team needs before noon.

Expected children who have not arrived

The most useful question in the morning is not "who is here?" but "who should be here and isn't?" A child who is usually present on Tuesdays and has not arrived by mid-morning deserves a call to the family. On paper, this means comparing lists. With attendance software, the "expected" children stand out automatically, based on each child's enrolment days and the centre's closures.

Absences: always with a reason

Record every absence with a short reason (illness, holiday, family reason). Over a term, this shows patterns worth discussing with a family and gives you accurate records if you ever need them.

Check-out: the safety moment

Handing a child to the wrong person is the risk every director fears. Build the check-out around a list of authorized people for each child:

  1. Keep the list up to date (guardians with custody, and people they authorize).
  2. At check-out, the educator chooses from that list rather than writing a name.
  3. If someone not on the list arrives, the procedure is clear: contact a guardian, never improvise.
  4. Flag in advance any child for whom no one is currently authorized.

Custody matters too. A guardian without custody should not be able to collect the child, and should not receive information about them.

Late arrivals and early departures

Record the actual times. Late arrivals and early departures, compared with the child's usual schedule, help you plan staffing and spot changes in a family's routine.

Staff attendance

Children's attendance is only half of the picture. Knowing which staff are present matters for supervision and safety. Let staff check themselves in and out, and let managers correct past days with a history of changes kept.

With Clever Nursery

The attendance module in Clever Nursery follows this approach: a roll call per classroom from any phone, "check in all", present, expected and absent children at a glance, check-out from the list of authorized people, absences with reasons, late arrivals and early departures flagged automatically, closure days handled, staff self check-in with manager corrections kept in the history, and export to CSV or Excel. Allergies are flagged on the lists, and each child's record holds the pickup authorizations. See also the page for educators.
