Childcare management software: what to include and how to choose
What childcare management software does, the features that matter, the questions to ask vendors, and how to roll it out in your nursery without disruption.

Childcare management software is an application that replaces the paper registers, spreadsheets and care notebooks of a nursery, daycare or kindergarten with one shared tool. It records attendance, daily care, children's and families' information, admissions and staff, and gives each person the access their role requires. The right tool saves administrative time, protects sensitive information and gives directors a live view of the day.
This guide covers what to expect from such software and how to evaluate it before you commit.
Why move away from paper and spreadsheets?
Most centres grow into a patchwork: paper registers, then an Excel file, then a group chat. Each fixes one problem and creates another.
- Information is scattered. A child's allergy sits in a file, not on the list the educator holds at lunchtime.
- Data is entered again and again. A new child is written on the form, in the register, in the spreadsheet and on the classroom list.
- Privacy is fragile. A group chat shows everything to everyone, including photos of children whose parents never agreed.
- Directors lack visibility. Knowing who is present or which room is full means walking from room to room.
Software fixes exactly these points: information entered once, visible in the right place, to the right people.
The features that matter
Attendance
The heart of the day. Check that the roll call works per classroom, from a phone, and that you can check in the whole group at once and correct the exceptions. At check-out, the software should offer the list of people authorized to collect the child: that is a safety feature, not a convenience. Late arrivals, early departures, absences and closure days should be handled without manual counting.
Daily care
For babies and toddlers especially, the handover matters: meals, naps, diapers, care, observations. A good test: how many taps does it take to record the same lunch for ten children? The best tools let you select several children and record once. Check that each entry can be shared with the family or kept for the team.
Children's and families' records
A complete record brings together identity, health and allergies, emergency contacts, authorized pickup, documents and history. Two details separate good tools from the rest:
- allergies should appear everywhere (lists, roll call, meals), not only in the profile;
- custody should be set per child, so a guardian without custody receives nothing.
Admissions
Enquiries arrive by phone, in person and by message. Useful software offers an online pre-registration form in your name, an ordered waiting list, and one-step conversion of an accepted application into an enrolled child.
Roles and data protection
The most underestimated criterion. Ask exactly who sees what. An educator should see the children of their own classroom, not the whole centre. An accountant has no reason to see health data. And these rules should be enforced by the server, not merely hidden in the interface.
Import and export
You already have lists. The software should import your Excel or CSV files, show a preview, detect duplicates and ideally let you undo an import. Just as important, you should be able to export all your data at any time, so you are never locked in.
Languages and country settings
If your team works in more than one language, check that each person can use theirs, including right-to-left Arabic where relevant, and that the software does not assume another country's calendar, currency or holidays.
Questions to ask before you choose
| Question | Why it matters |
|---|---|
| Can an educator take the roll call on a phone in a few taps? | If it is slow, the team will go back to paper. |
| Who can see health information? | Children's privacy is not negotiable. |
| Can I import my lists, and undo an import? | Setup should be fast and safe. |
| Can I export all my data? | You should stay in control of your data. |
| What happens if I enrol more children than my plan includes? | Being blocked mid-year is a real problem. |
| Is everything in the demo available today? | Be wary of features that are "coming soon". |
The last question deserves emphasis. Ask to see each feature in the live product, and ask the vendor to say clearly what is available and what is planned.
Rolling it out
- Start small: one classroom or one module (attendance, for example) for two weeks.
- Import, don't retype: prepare your children and family lists in a spreadsheet.
- Set roles from day one: director, administrator, educators.
- Train where the work happens: ten minutes with each educator on their own phone beats a long meeting.
- Stop the paper once the tool is adopted: running both for too long discourages everyone.
